Instructor Privacy Policy

1. Nature of Engagement
By submitting an application through the Snova platform, you are applying to become an independent contractor instructor. You are not applying for employment with Snova Tech Limited. If accepted, your relationship with Snova will be governed by a separate Instructor Partnership Agreement.
Independent Contractor Status
Instructors listed on Snova are independent contractors who control their own teaching methods, schedules, and pricing. Snova acts solely as an intermediary connecting instructors with students.
2. Data We Collect
When you submit a coach application, we collect the following information:
- Full name and contact details (email, phone/WhatsApp number)
- Primary teaching location and resort preferences
- Languages spoken and primary discipline
- Years of teaching experience
- Certification documents (PDF, JPG, PNG uploads)
- Any additional information you voluntarily provide
Do not include sensitive personal information (government ID numbers, home address, date of birth, bank details) in your application. We do not request or require this information at the application stage.
3. How We Use Your Data
We use the information you provide for the following purposes:
- Evaluating your application to join the Snova instructor network
- Creating and displaying your public instructor profile on the Snova platform
- Matching you with students based on location, language, and discipline
- Communicating with you about bookings, platform updates, and support
- Enforcing platform rules and investigating reported incidents
We do not sell your personal data to third parties.
4. Data Sharing
4.1 Public Profile Information
If your application is accepted, the following information may be displayed publicly on the Snova platform: display name (we recommend using a nickname), profile photo, certifications, qualifications, years of experience, languages, discipline, bio, and teaching location.
4.2 Information Kept Private
Your phone number, email address, and any sensitive personal information are never displayed publicly. Contact details are shared with students only after a confirmed booking, via a designated communication channel (e.g., WhatsApp group).
4.3 Service Providers
We may use third-party service providers (hosting, databases) to store and process your data. These providers act only on our instructions and for the purposes described in this policy.
4.4 Legal Requirements
We may disclose your data if required by law, court order, or to protect the safety and legal rights of Snova, its users, or the public.
5. Data Retention & Deletion
We retain your application data for as long as your instructor profile is active on the platform, or as needed to comply with legal obligations, resolve disputes, and prevent fraud.
If your application is declined, we retain your data for up to 12 months to allow for reapplication, after which it is deleted unless legal retention obligations apply.
You may request deletion of your data at any time by contacting us. Deletion requests are processed within 30 days, unless retention is legally required.
6. Your Rights
Depending on applicable law, you have the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete data
- Request deletion of your personal data
- Withdraw consent for optional data processing
- Receive a copy of your data in a portable format
7. Security
We implement industry-standard security measures including encryption and access controls to protect your data. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
8. Governing Law
This policy and any disputes arising from it shall be governed by the laws of the jurisdiction in which Snova Tech Limited is incorporated (Hong Kong / Taiwan).
